The basics

Your XOIP number will automatically accept any fax that is sent to it. It works like any other telephone number with a fax machine attached to it. Your faxes will be sent to your email.

Using your home or office number instead of your XOIP number

You may continue to use your home or office number by forwarding it to your XOIP number. See call forwarding for details. Alternatively you can also let XOIP take over service on your existing number (number porting).

Fax formats

Faxes are sent to your email as attachments. You may select to receive faxes in either .pdf or .tiff format by updating your number settings. Both formats are accepted by most operating systems, including Windows, Mac and Linux.

  5. Press 'edit' on the number you wish to modify.
  6. Choose "pdf" or "tiff".

Usage and limits

You incur no cost for receiving as many faxes as you like on XOIP Plus numbers. Subscriptions to XOIP Local numbers include 200 free incoming minutes/month.You may receive multiple faxes simultaneously, with no limit on the number of pages you may receive.

XOIP for fax-only

You may configure any of your XOIP numbers as fax-only. This is advisable if you receive a lot of faxes. For fax-only numbers, callers hear a fax tone immediately upon pick-up.

  5. Press "edit" on the number you wish to modify.
  6. Select "fax only".
  7. Save your changes.

Accessing old faxes

You can use the My Messages tab on your account to resend faxes to yourself that are less than 3 months old.

  5. Tick the fax(es) you want to be resent again.
  6. Press the "resend" button.

To send old faxes to an alternate email address, you should first update the email address on your XOIP number.

  5. Navigate to the 'email to fax' section
  6. Ensure that the 'Enable email to fax' box is checked.
  7. Choose a security option
  8. Add additional email addresses (your login email address, as well as email addresses assigned to XOIP numbers are automatically activated)
  9. Save your changes.

Sending your fax

1. Create a new email

Create a new email using your favourite mail program.

2. Enter the fax number

Enter the telephone number you wish to send the fax to in the to address field of the email message. The mail address should be the number in international format, followed by @sendfax.xoip.com

For example, to send a fax to an Amsterdam (020) number in the Netherlands (+31), use one of the following addresses:

3. Attach the .pdf

Attach the .pdf you wish to fax to your email. You may attach multiple .pdf's.

Only the .pdf document will be faxes. Any text in the subject, or additional text in the body of the mail will not be faxed.

4. Sending the fax

Send your email. You will receive a confirmation email informing you that your fax is being sent, and another email confirming whether delivery was successful or not.

Security

You can choose which type of security you would like to use. You can set up your security method under 'my profile'

  5. Navigate to the Email to fax section
  6. Choose one of the security options (none, token or email)
  7. If you have chosen 'token', enter a security token of your choice in the space provided
  8. Save your settings
Confirmation link
After you send the email with the .pdf, you will receive an email requesting you to confirm the sending of the fax. The links in this mail will allow you to preview, send or cancel the fax.
It is highly recommended to preview the fax before you confirm it. For more information see the fax sending faq.
Security token
Enter a security token in the field in your profile. Any fax you send must include this token in the subject.
Security tokens are sent as plain-text over email.
No security
XOIP will validate the email address used to send the fax against the valid email addresses for your XOIP account

send faxes using the online tool

You can use the fax sending tool to send faxes. You do not need to install any software.

1. Enter the fax number

Enter the telephone number you wish to send the fax to. You may enter up to ten telephone numbers, each separated by a comma.

2. Uploading .pdf files

The document you wish to send must be saved as an Adobe .pdf file. Click the "browse" button to upload the file you wish to fax. If your computer can not save files as .pdf, see the fax sending faq for details on downloading a .pdf creator.

Press the "upload" button to upload the fax.

3. Sending the fax

XOIP will display the fax on your screen. You need to check that you are happy with the result before you send it. XOIP does not take responsibility for the contents of the encoded fax. For more information see the fax sending faq.

Verify the cost, and press "send".

Failed faxes

Faxes may take a while to send. Sometimes people’s fax machines are busy, or there are problems receiving the fax. XOIP will try 3 times to send the fax. You will be notified once the fax is sent, or if it cannot be sent.

If your fax cannot be delivered, you will be charged for one page.

If you do not have sufficient credit in your account to send your fax, you will be emailed with a request to upload credit. Your fax will be sent automatically once you have increased your credit balance.
